Maximize Your Productivity: 5 Effective Strategies for Success
Written on
Chapter 1: Introduction to Productivity Strategies
At times, I feel as if I'm juggling numerous tasks; other times, I seem to have everything organized. As an Executive Coach, there's an expectation that I manage all these tasks effectively, but I'm just like everyone else. I firmly believe in working intelligently rather than clocking endless hours. In my early corporate days, I thought that was the only way to succeed, but the landscape has shifted significantly.
Interestingly, I've discovered that I can achieve more now than ever. After experimenting with numerous productivity techniques, I've narrowed them down to my top five strategies, which I’ll share with you.
My Top Five Strategies:
- Understand Your Chronotype
- Implement Time Boxing
- Minimize Distractions
- Eliminate Excuses
- Embrace the 85% Rule
Section 1.1: Understand Your Chronotype
I identify as an early bird, often starting my day around 4:30 AM. I'm not suggesting everyone should follow this schedule, but it's crucial to recognize your chronotype. Are you a morning person (Lark) or a night owl? Understanding your natural rhythm is vital. If you're more productive in the evenings, there's little benefit in trying to tackle complex tasks in the morning when your energy wanes.
Section 1.2: Implement Time Boxing
Time boxing is a technique that can help you optimize your day. This method involves assigning specific time slots for each task and adhering to them. It enhances focus and provides a clear structure for your daily activities, thus preventing time drains that often occur when you lack direction.
Top Tips:
- Rank your tasks by urgency and significance to focus on what truly matters.
- Schedule short, frequent breaks to avoid burnout and sustain high levels of concentration.
- Stay flexible; unexpected events can arise, so be prepared to adjust your time slots to maintain balance and productivity.

Section 1.3: Minimize Distractions
In today's world, we are constantly inundated with information, making it challenging to concentrate. It's crucial to minimize exposure to distractions, whether they stem from the news, social media, or phone notifications. By tuning out unnecessary noise, you can focus more on your objectives, leading to increased productivity and improved overall well-being.
Tips:
- Disconnect from news sources.
- Avoid toxic individuals.
- Engage in self-improvement activities.
- Exercise regularly.
- Practice mindfulness or meditation.
- Take periodic breaks for rejuvenation.

Section 1.4: Eliminate Excuses
We all have a tendency to make excuses, often thinking that tomorrow is another chance to try again. Instead of tackling tasks head-on, we burden ourselves with unnecessary stress. Rather than overwhelming yourself with a lengthy to-do list, focus on three key tasks that align with your goals for the day or week.
Strategies to Avoid Procrastination:
- Break larger tasks into smaller, manageable segments and handle them step by step.
- Establish a routine with designated times for uninterrupted work on your tasks.
- Reward yourself upon completing tasks on time to foster a positive reinforcement loop.
Section 1.5: Embrace the 85% Rule
Athletes often understand the importance of the 85% rule — the optimal effort level that promotes growth, consistency, and sustainability. This principle applies beyond sports to the workplace. It's not about juggling numerous tasks but rather adjusting your effort according to the importance of the task at hand.
Imagine this scenario:
Rix, a seasoned executive coach in his 40s, found himself reevaluating his work approach during the pandemic. The pressures of remote work blurred the lines between his professional and personal life, leading to exhaustion. He realized that working smart was more beneficial than working tirelessly.
Rix began to implement strategies that allowed him and his clients to be more productive without sacrificing their well-being. He distilled these practices into five key strategies, which formed the foundation of his coaching.
Rix's mornings transformed into a blend of focused work, structured time, and mindful breaks. By 9 AM, he had accomplished more than many do by noon. His day now included coaching sessions, light administrative duties, and time for reflection and personal growth. He no longer felt compelled to prove his worth through long hours; instead, he measured success by the quality of his output and the tranquility he had cultivated.
These strategies not only revolutionized Rix's work life but also served as essential components of his coaching practice. His clients, located across London and beyond, began to experience significant improvements in their productivity and overall well-being.
In this post-pandemic landscape, Rix discovered a new way to thrive, finding his rhythm as he gazed out over the Thames, the early morning sun illuminating the path ahead.
